Pindah Basa — All Modules

What is Pindah Basa?

Pindah Basa is business software that helps you run your company from one place. Instead of using separate apps for stock, money, staff, patients, or school records — and copying the same information into each one — Pindah Basa keeps everything connected.

You sign in once. You see one menu on the left. You turn on only the parts your business needs. When someone sells a product, receives goods from a supplier, or pays an invoice, the rest of the system updates automatically.

How the platform is organised

Think of Pindah Basa in four simple groups:

1. The basics (every organisation uses these)

These are the parts you need before anything else works:

  • Core Platform — The main screen, menu, and look of the system for your company.
  • Authentication & Security — How people sign in, reset passwords, and keep accounts safe.
  • Organisation — Where the owner or IT person adds users, chooses which modules are on, and sets company details.
  • Dashboard — Your home page after sign-in — summaries and shortcuts for the areas you use.
  • Account Settings — Each person’s own profile, password, and display preferences.

2. The core business trio (shops, warehouses, and distributors)

Most trading businesses rely on three modules that work together:

  • Inventory & Stock — What you sell and store: products, quantities, warehouses, suppliers, receiving goods, stock counts.
  • Accounting & Sales — Money: till sales, customer invoices, expenses, bank records, profit-and-loss reports.
  • Procurement — Buying from suppliers: staff requests, approvals, orders, matching invoices to what was received, and paying suppliers.

3. Industry-specific modules (add when you need them)

Hospitals, schools, insurance brokers, and feed manufacturers do not use the same screens as a corner shop. Pindah Basa offers specialised modules that still share the same products, customers, and money records. These are described in detail below.

4. Tools that help everyone

  • Documents — Store and share files (contracts, policies, attachments).
  • Forms & Surveys — Build forms and collect answers online.
  • Chat — Message colleagues inside the app.
  • Mobile Scanner — Use a phone to scan barcodes for stock work.
  • Analyst — Ask questions about your business data in plain language.

What is shared across modules?

When information is entered once, other areas can use it. That is the main benefit of one platform.

  • Products — The same item list is used for stock, sales, pharmacy, purchasing, and reports.
  • Customers and patients — A person you bill in accounting can be the same patient in clinic or parent in CRM.
  • Suppliers — Vendor details used when ordering and when receiving stock.
  • Staff (users) — Employee logins and permissions controlled in one place.
  • Money records — Sales, supplier bills, school fees, and insurance premiums can all flow into your financial reports.

You do not maintain five different product lists or re-type the same invoice in warehouse and finance systems.


The core trio explained (buy, stock, sell)

Here is how the three main business modules fit together in everyday language.

Step 1 — Someone needs to buy something (Procurement)

  • A staff member fills in a purchase requisition (an internal request: “we need 50 reams of paper”).
  • A manager approves or rejects it.
  • Procurement turns the request into a purchase order sent to the supplier.
  • Optionally, several suppliers can quote first (RFQ) before you choose one.

Step 2 — Goods arrive (Inventory & Stock)

  • Warehouse staff receive stock — they record what actually arrived, where it was put, and at what cost.
  • Quantities on the system go up.
  • Product costs can update for pricing.

Step 3 — You sell or bill (Accounting & Sales)

  • Point of Sale — cashier sells over the counter; stock goes down; money is recorded.
  • Invoices — you bill credit customers; payments are tracked.
  • Reports — trial balance, profit and loss, and other finance views.

Step 4 — You pay the supplier (Procurement + Accounting)

  • You record the supplier’s invoice.
  • The system checks it against the order and what you received (3-way match).
  • After approval, you record payment to the supplier.

Purchase orders live under Accounting; receiving lives under Stock; requests and supplier bills live under Procurement — but they are one connected process, not three separate spreadsheets.

People and sales

HR & Payroll

  • Employee records, job details, and contact information.
  • Running payroll and payslips.
  • Onboarding new staff and offboarding leavers.
  • Performance reviews and internal announcements.
  • Works with school (teachers) and clinic (clinical staff) when those modules are on.

CRM (Customer Relationship Management)

  • Track leads and opportunities through your sales pipeline.
  • Store accounts, contacts, and customer history.
  • Log activities, support cases, and send quotes.
  • Connects to accounting customers and school admissions follow-up.

Healthcare and pharmacy

Healthcare (Clinic)

  • Appointments, patient registration, clinical notes.
  • Laboratory orders, billing, and insurance claims.
  • Suitable for clinics and outpatient facilities.

Hospital / HMS (Hospital Management System)

  • Everything in Clinic, plus wards, beds, operating theatre, and fuller hospital workflows.
  • One system for reception through to billing — not separate patient, lab, and pharmacy databases.

Pharmacy

  • Dispense medicines to patients with batch and expiry tracking.
  • Print labels, manage refills, and optional payment at the till.
  • Uses the same medicine stock as Inventory; patients can come from Clinic.

Pharmacy Home Delivery

  • Plan and track delivery of medicines to patients’ homes.
  • Builds on the Pharmacy module.

Education

School (Frame)

  • Learners, classes, subjects, marks, and report cards.
  • Attendance and online assessments.
  • Built for Zimbabwe primary and secondary school structures (grades, forms, terms).
  • Fees can be handled in Accounting; teachers in HR; parent communication in CRM.

Insurance

Insurance

  • Full workflow for brokers and insurers: submissions, quotes, policies, renewals, claims.
  • Commission and regulatory reporting.
  • AI-assisted insights on the portfolio.
  • Links to accounting for premiums and to Documents for policy files.

Operations and field work

Logistics

  • Manage drivers, vehicles, clients, and trips.
  • See active deliveries on a map (command centre).
  • Useful for delivery companies, school transport, and distribution.

Projects

  • Plan projects, track tasks and issues.
  • Job cards for workshop or field service work.

Asset Management

  • Register laptops, vehicles, furniture, and equipment.
  • Record who has what and where it is.

Agriculture & Feed

  • Design animal feed formulas from nutrients and raw materials.
  • Raw materials tie into Inventory; purchasing ties into Procurement.

A retail shop or wholesaler

  1. Procurement — Manager approves a request; purchase order goes to supplier.
  2. Stock — Goods arrive; quantities updated in the warehouse.
  3. Accounting — Cashier sells on POS; stock reduces; sale appears in reports.
  4. Procurement — Supplier invoice matched and paid.

A pharmacy

  1. Clinic (optional) — Doctor sees patient and prescribes.
  2. Pharmacy — Pharmacist dispenses; oldest batch used first; label printed.
  3. Stock — Medicine quantity drops automatically.
  4. Accounting — Payment recorded if the patient pays at the counter.

A school

  1. Frame — Teachers enter marks; report cards generated.
  2. Accounting — Fees and tuck-shop sales billed and collected.
  3. HR — Teacher records and payroll.
